Key tips for organising a successful charity event

A charity event is a fun way to bring people together and raise money for a good cause. Find a charity that you connect with and focus on raising money to support them. You can help them make a difference and encourage others to do the same. A charity event can raise awareness of a prevalent issue in your community and hopefully make a change.

Follow this quick guide to organise a successful charity event.

 

Location

The location of your event is key. You need to find a place that caters to the style of your event and the expected number of attendees. For example, if you are hosting a black-tie ball, you need a grand venue with seating and a dance floor. Or you could go for a more relaxed venue if you are hosting a Sunday morning coffee morning.

Marketing

It’s time to get the word out there. Create a Facebook event for your event and a few marketing materials, like posters and leaflets. You can hand out these marketing materials in the local area and pin them to local notice boards. Start promoting the event on your different social media channels and ask the charity to do the same. Ask people to check ‘going’ on the Facebook event so that you can get an idea of numbers. You need to know how many people are going to book the venue.

Use a virtual event app to coincide with your event so people can tune in from home. Some people might not be comfortable with a large group event during the pandemic. Stay up to date on the restrictions and make sure your event can go ahead.

 

Budgeting

Take a look at your finances and make a budget for your event. You need enough funding to cover suppliers, venue hire, entertainment and much more. The profits of the event will go to your charity of choice.

 

Set a goal

Setting a goal will help increase people’s competitive nature and hopefully raise more money. Find a balance between a realistic and ambitious goal that will get people excited about the event.

 

Make it easy to donate

People should be able to donate online in a few clicks. There’s no need to make the donating process difficult. However, some older people may struggle to pay online or by a transaction. You should also accept cash in these instances, and you can cash it in after the event. Make sure there are multiple ways for people to donate at your event. If there is a large screen at the event, you could project live updates of how much you have raised. The screen will show you getting closer to your goal as people donate more.
